    Main purpose and scope of the post would include:

    • To provide outstanding customer service to all employees, managers and visitors to the Quality department
    • To provide a meticulous administrative support service to colleagues, demonstrating awareness of the impact of actions and using initiative to make recommendations for improvement
    • To accurately process Quality transactions on both manual and electronic record systems, in a timely manner
    • Work collaboratively to provide a professional and customer focused Quality Reception service. Responding promptly to enquiries in a confident and confidential manner

    Main activities and responsibilities of the post would include:

    • Administration: To assist in carrying out administration efficiently as directed by the Head of Teaching, Learning and Assessment and Quality Assurance Manager. Ensure all supporting documents are produced accurately (using Master document template), monitored for completion (using brought forward reminders) and are accurately recorded on both the manual and electronic college systems
    • To ensure employee records are complete and up to date showing all online training completed
    • To enter all staff learning and development activities accurately and regularly on the college itrent system
    • To assist with the efficient running of staff learning days eg meeting and greeting visitors, supplying registers, booking hospitality etc
    • To collate returns for stakeholder voice activities such as GOAL. and present to the Head of Teaching, Learning and Assessment using the master documents
    • To assist in responding to routine correspondence such as requests for information about training and staff learning days
    • To assist the Head of Teaching, Learning and Assessment and the Senior Academic Leader for Quality in routine correspondence for observations and learning walks
    • To use the Pro-Observe system for producing reports on teaching, learning and assessment at regular intervals
    • To assist the Quality Assurance Manager to produce documents for Quality Review meetings and events
    • Reception and related duties: To provide a professional and customer focused Quality Reception service, (as and when required) between 9 am and 5.00 pm
    • Respond promptly to all enquiries in a confident and confidential manner. Ensure that supplies of information packs etc are readily available
    • Meet and greet visitors in a welcoming manner and provide basic information or guidance as necessary, referring more complex enquiries to relevant colleagues
    • To arrange training room facilities as necessary, including inspection of the allocated room(s); refreshments; equipment etc
    • To open, date-stamp and distribute the Quality department’s post
    • To take out- going post to the post room
    • To assist in ordering and maintain stationery supplies for the Quality department as required
    • General: To assist in producing management information as and when required
    • Assist in ad hoc project work
    • To take notes of meetings as and when required
    • To assist in the monitoring and updating of the Quality pages of the staff intranet as directed
    • To maintain absolute confidentiality on all issues
    • To deal with issues in a discrete, calm and professional manner
    • To carry out any other comparable duties as required by the Head of Teaching, Learning and Assessment and the Quality Assurance Manager
    • To adhere to Key Performance Indicators (KPIs) and support the College’s Core Values

    • Experience of Microsoft Office at intermediate level and accurate data input onto a computerised information systems

    Qualifications required:
